Office Manager/Executive Assistant

RFC Ambrian is a natural resources focused corporate advisory group with offices in Sydney, Perth and London.  We are looking for a talented and highly skilled office manager/executive assistant who will provide support to the Managing Director and two Executive Directors, as well as take responsibility for a broad range of administrative functions across the firm.  

The overriding objective of the successful candidate will be to ensure the professional staff can focus on delivering excellence and value to our clients within an efficient office environment. To achieve this the candidate will:

  • seek to understand the priorities of the directors and undertake activities which support those goals
  • deliver high quality, executive support to manage multiple diaries (across multiple time-zones), travel bookings, internal registers and calendars, staff training, and executive committee reporting
  • utilise well-developed document production skills to maintain the high quality of our documents and presentations
  • annually review the relevant corporate insurances for the business
  • assist staff with operation of video conference, teleconference and computer equipment
  • co-ordinate projects such as recruitment, functions and arrangement of the biennial staff conference
  • supervise the workload and development of the receptionist/office assistant

This is a role for a person who:

  • has a mature, professional but also hands-on approach (5+ years of relevant work experience)
  • is enthusiastic, proactive and can effectively respond to conflicting deadlines and unanticipated obstacles
  • can draw on a broad skill base
  • delivers a high degree of accuracy and attention to detail
  • can employ a high level of computer literacy (particularly Word and Powerpoint, client database management and cloud-based tools such as web conferencing and document storage)
  • has well-developed written and verbal communication skills and
  • can make the role their own but also work collaboratively with the existing team

Resources or professional services industry experience will be highly regarded as will post-secondary education. This autonomous role will provide to the successful candidate:
