Customer Service and Operations Support

About the business and the role

We are a Registered Training Organisation with training facilities in Brisbane and Townsville. We specialise in the design, development and delivery of training to a range of industries, including mining, oil and gas, construction, government and defence. We offer a weekly schedule of training courses to the public in both locations along with customised training services at our clients' sites across Australia.

The objective of the Customer Service and Operations Assistant is to provide assistance to the Operations team on a part time basis. The role will focus on a key set of deliverables to be delivered weekly including the following: administration, data entry, record management, answering of phones, training resources management, general facility maintenance and closing the facility 4 days a week.

The ideal candidate will have the flexibility to increase capacity from time to time in line with business requirements (in particular, stay back to close the premises if a training is running late).

Critically we are looking for a candidate who has industry experience in connection to mining and or heavy industry (including plant and machinery, high risk licences and workplace health and safety).

Usual hours of work are 20 hours per week, Tuesday to Friday from 12pm to 5pm.

Job tasks and responsibilities

  • Facilities
    • Maintain cleanliness of the premises
    • Setup training rooms for the following day
    • Procurement of supplies for the daily running of the facility
  • Processing
    • Accurately and diligently process student enrolments and course outcomes in the student management system
    • Audit and process all course material and issue certificates as required
    • Scan and archive course materials as directed in line with the company's record retention policies and processes
  • Customer Service
    • Answering phone calls and diligently following up relevant client queries
    • Transferring of phone calls as appropriate
    • Welcome and help clients entering the facilities
  • Administration
    • Assist with travel bookings for trainers
    • Printing and preparation of course materials
    • Administrative support to Management as requested and required
    • Processing of mail as required
    • Using company car to pick resources / consumables needed for training

Skills and experience

  • Drivers licence and willingness to drive company car (both manual and automatic company cars)
  • Industry experience in mining / heavy industry
  • A helpful and cheerful manner
  • Proactive and positive attitude showing initiative to undertake new tasks
  • Demonstrate time management, priority management and organisational skills to manage a variety of tasks
  • An eye for accuracy
  • Can operate effectively within a small team environment
