About the role

We are currently recruiting for the position of Executive Assistant to the CEO, to be based in our Brisbane CBD office. This diverse Executive Assistant role will provide one-on-one support to the CEO. It is an ideal position for someone who wants a high level of responsibility in a role which allows you to be proactive, while demonstrating your commerciality in a truly global international development business. 

Responsibilities

  • Diary management across multiple time zones; coordinating with both internal and external stakeholders;
  • Drafting complex reports, presentations, proposals, contracts and other documentation on behalf of the CEO;
  • Arranging complex international travel for the CEO, both using a corporate travel partner and independently when required;
  • Acting as the main liaison point for the CEO with our clients and other external stakeholders, ensuring that all issues are dealt with proactively and in order of priority;
  • Preparing agendas and minute taking for senior leadership meetings across multiple timezones;
  • Liaising with internal stakeholders in relation to financial reports, forecasts and proposals to ensure accuracy prior to submission to CEO;
  • Proactively identifying opportunities for efficiency in business operations and methods of implementation;
  • Expense reconcilliation and credit card aquittal for the CEO; 
  • Research and analysis of company financial data and other information in order to assist the CEO with updates on business performance; 
  • Organising internal and external events varying in size and complexity;  
  • Acting on behalf of the CEO at internal or external meetings where required.

Skills and experience

The ideal applicant will demonstrate the following skills and experience:

  • Prior experience providing one on one EA support to a senior executive, ideally within a global business; 
  • Significant experience in diary management and proactive email management; 
  • Experience arranging complex multi-stop, international travel itineraries;
  • Strong commercial acumen and ability to prioritise accordingly in a high pressure environment; 
  • Demonstrated capacity to understand financial data and ability to analyse appropriately; 
  • Advanced skills in Microsoft Office suite;
  • High degree of discretion, confidentiality, professionalism;
  • Strong communication and stakeholder relationship skills;
  • Ability to  attend calls and meetings outside normal business hours when required; 
  • Flexibility to travel when required.
