Administration Officer - Communications and Events

 



Administration role in a fast-paced friendly team at the Mornington Peninsula Shire.

 

The Mornington Peninsula Shire Communications and Events Unit needs someone who is highly organised with excellent administration skills, a passion for excellent customer service and an eye for detail. 

This key support role will provide administrative support to both the Executive Manager and Unit of Communications and Events.

 

About the business & role

The Mornington Peninsula Shire’s Communication Team manages a range of communication channels including: social, broadcast and print media; Shire websites and intranet; email newsletters plus a range print collateral. The Events Team supports the planning, compliance and implementation of a range of events across the Shire.

 

Job Tasks & Responsibilities

  • Provide administrative support to the Executive Manager and Team Leader Communications including diary management.
  • Provide administrative support to the Communications Team.
  • Provide administrative support to the Events Team.
  • Schedule meetings including booking of rooms and catering.
  • Process invoices.
  • Placement of advertisements on behalf of the Shire.
  • Manage databases.
  • Respond to enquiries with internal and external stakeholders.

Experience in managing accounts and an understanding of budgets will be a key responsibility, as will experience in managing the diaries of executive level staff.

 

Demonstrated experience in confidentiality, privacy and sensitivity is required. 

 

Opportunity will also be given for the successful applicant to support the implementation of communication plans. This work could include writing, editing, website work and events support. 

 

Skills & Experience

  • Adept in MS Office Suite.
  • Ability to write and maintain procedures.
  • Maintain databases.
  • Manage a high workload with competing demands.
  • Sound time management skills.
  • Ability to work as a member of a team, prioritise and plan work activities to meet the team’s objectives.
