Full-time Medical Secretary (Filled)

Davis Recruitment is a specialist agency for the placement of Temporary & Permanent Support Staff to the Medical/Healthcare Sector.

Our client, an established Specialist Practice is actively seeking to appoint an experienced Medical Administration Assistant to join their team (in the role of Medical Secretary). The role will require you to work full-time  9am - 5pm each day working within a medium sized team setting. There is a Practice Manager leading this team. Parking available on site (provided by the client)!

We are interested in hearing from candidates with one/some of the following experience:

  •     Anaesthetic Practice experience
  •     Medical Billing Service or Accounts department
  •     Specialist Medical Secretary experience
  •     Solid Bookings experience in a Hospital environment
  •     Health Fund/ Call Centre experience

The principal duties of this role are (Medical Secretary):

  •     Accurate and timely provision of estimates for / information on procedures for patients.
  •     Accurate and timely invoicing for consultations and procedures
  •     Effective and efficient management of correspondence and maintenance of patient records.   
  •     Maintaining excellent reputation as an effective high quality service to shareholders and their referring surgeons
  •     Maintain the leave and cover rosters to ensure no service shortfall and that adequate cover is provided at all times
  •     Maintain a cordial professional and customer serviced relationship with referring surgeons (and their rooms) and the hospitals in which the specialists practice
  •     Attend to patient queries in an effective and timely manner (almost all contact is via phone).
  •  Relief Bookings role. 

The principal duties of this role are (Bookings):

  • Ensure received theatre lists are saved and filed in accordance with practice guidelines
  • Maintain the electronic storage of received theatre lists in a searchable format
  • Distribute theatre lists promptly on receipt of such to the relevant doctor's secretary.
  • Input of theatre lists as required or requested into the diary via data entry into practice software
  • Maintain practice diary software in a legible and easily readable format in line with practice requirements where and when required or directed.
  • Relieving other secretaries' duties in times of holiday/sick leave when required or directed after appropriate training.
  • Verifying membership/eligibility details with private health funds where requested or necessary

To be considered, we are seeking applications from candidates who offer:

  • Minimum 2 years in a Health Administration Role (Specialist Practice Medical Secretary experience highly regarded or areas as listed above) within a Private Practice
  • Experience using medical software for patient clinics
  • Ability to multitask and organise multiple theatre lists for multiple consultants using solutions focused problem solving skills to develop and implement solutions to ensure effective service delivery.
  • Fast and accurate data entry skills
  • General Office administration duties.
  • Solid interpersonal, telephone and communication skills
  • Ability to work in a fast paced environment
  • Ability to use solution focused problem solving skills to develop and implement solutions to ensure effective service delivery
  • Solid understanding of Medical terminology  

Salary:  Commensurate with Skills and abilities and in the range of $ 55000 to $ 60 000 per annum plus Superannuation. Parking is currently provided as part of the package in this office location (Value $ 3200 per year).

This role will commence asap.
