Our Opportunity

We have an exciting opportunity for an energetic and self-driven Personal Assistant to join our Sydney Law team. This role provides support to two Partners and a team of solicitors and you will be part of a broader administrative support team. 

You will be fully conversant with all the traditional duties and tasks of PA support.  Equally you will be keen for more variety, challenge and exposure to broader business projects for our senior team. 

What You Will Be Doing

  • Diary, e-mail & appointment management

  • Creating and updating Matters in the database and client liaison on behalf of Partners

  • Assisting with sales administration

  • Administrative support to the broader Sydney Law Teams including coordinating and overseeing other law support team members

  • Call management, taking messages and actioning

  • Minute taking, coordinate meeting processes, rooms and technology  

  • Complete administrative steps in monthly billing cycle for your team members

  • Manage meeting processes for Law Teams including coordinating support from Law Team Admin Assistant, liaising with attendees, ensuring rooms are booked and set up, catering needs are arranged and any administrative needs are met. 

  • Organising travel

  • Preparation of reports for team meetings  

  • File opening and management for Law Teams – Open matters and maintain matter filing in both hard copy and electronic form

  • Co-manage (with another team PA) the workload and allocation of work to the Team Admin Assistant

Broader Sydney Team Support 

  • Event management for Law team or shared Sydney events

  • Lunchtime coverage of phones & office with other administrative staff 

  • Overflow support for other support team members when absences occur

Firm Wide Responsibilities 

  • Working with Operations Team to roll out firm wide changes, processes and administrative systems

  • Lead and participate in Support team meetings contributing to process improvement, team discussion and activities and undertaking action items as allocated by the Operations Manager and Law Partners

  • Act as a liaison between Operations, Finance, Marketing & Business Development and the broader business support teams

You will need to have a minimum 3+ years’ experience providing dedicated PA support to a team or senior executive level individuals, ideally within a professional services firm.

  • High level of written and verbal communication skills
  • Ability to juggle multiple tasks and manage deadlines that may conflict
  • Proficiency in Word, Excel, PowerPoint, Outlook and Sharepoint
