Legal Secretary

Queensland Law Society (QLS) is the professional body for legal practitioners, representing more than 10,000 members state-wide. We lead the legal profession by advocating for good law and supporting good lawyers.

The role

The role of the Legal business unit at QLS is to provide legal advice to the Chief Executive Officer, Council, QLS staff and the Legal Practitioners Admission Board (the Board) concerning all facets of QLS’s and the Board’s operations, managing litigation against QLS and processing applications under the Right to Information Action 2009 and the Information Privacy Act 2009 and the Privacy Act 1988 (Cth)

Reporting into our Legal Counsel, our successful legal secretary will provide secretarial, paralegal and administrative support to the legal team and assist our Regulation division when required.

This role is full time and fixed term to December 2019.


Key Responsibilities

  • Implementation, maintenance and enhancement of the records management system, including opening and closing files for the Legal team to ensure all records are maintained in accordance of the Public Records Act 2002, GRDS & QSA, and monitoring the bring-up system to ensure responses are met according to deadlines.
  • Provide secretarial and administrative support to the solicitors within the Legal team.
  • Maintenance of register for safe custody contracts, register with Qld Government QTender if contract over $10,000 and monitoring the bring-up system to ensure contract managers are aware of contract expiry.
  • Maintenance of register for Legal Profession Forms, arrange notice advertisement in the Qld Government Gazette. 
  • Maintenance of register QLS Business Names and Trademarks and monitoring of the bring-up system to ensure responses are met according to deadlines.
  • Maintenance of corporate policies/procedures and monitoring the bring-up system to ensure policies are updated.
  • Maintenance of the QLS Delegations Manual.
  • Compile and prepare briefs for Court as required.
  • Assist the Regulation division as required, including dictation of the General Manager, Regulation.

 Key skills required:

  • 7+ years’ experience in a similar role in a professional services team environment supporting multiple solicitors. 
  • Ability to learn new information quickly, including acquiring knowledge of the Public Records Act 2002 and how it applies to the team’s operations.
  • Exemplary customer service skills to respond efficiently to our internal clients and to provide an effective internal service.
  • Well-developed planning, organisational and time management skills along with the capacity to prioritise and complete tasks within competing timeframes.
  • High level written and verbal communication skills with the ability to communicate with a variety of stakeholders. 
  • Ability to use initiative and tact in dealing with highly confidential and sensitive information.
  • Ability to work both autonomously and in a team environment.
  • Consistently prioritise tasks and meet deadlines.
