Administration Officer

We are Puma Energy International. We are a rapidly expanding, midstream and downstream oil company operating in over 49 countries across 5 continents. Headquartered in Geneva (Switzerland) with regional offices in Johannesburg (South Africa), San Juan (Puerto Rico) and Singapore, we are a responsible supplier and storage facilitator of high-quality petroleum products. Puma Energy is a subsidiary of the Trafigura Group - one of the world's largest independent commodity traders.

Based in our Darwin (Berrimah) - Puma Office, this role is responsible to ensure timely and accurate processing of customer invoices, in line with contractual and auditor requirements. Including monitoring of trip progression through our Operating systems. Resolve and rectify discrepancies in stock purchases and deliveries to customer and company owned sites.

Responsibilities include, but are not limited to:

  • Reconciliation of Bulk Fuel and Lubricant deliveries including processing stock receipts and customer invoices.
  • Actively pursue outstanding trips/deliveries to ensure timely processing.
  • Active involvement in the preparation of manual trip paperwork (as required) including delivery dockets and transfer orders.
  • Answer all incoming calls, ensuring proficient management of Customer requests.
  • Active involvement in end of month to ensure end of month tasks are completed within finance guidelines
  • Accurate entry of customer orders including freight rate selections for delivery and ex rack customers, into both Navision and Salesforce (where applicable) Communication with Credit Control team to ensure customer supply is maintained within guidelines.
  • Manage the Epuma Order Intake Entry (OIE) table and correct any errors.
  • Maintain and update Sales Force and WinDMS Customer database

The successful candidate will need to possess the following attributes:

  • At least 2 years’ experience in an administration role
  • Accurate Data Entry Skills, with a proven ability to identify errors and anomalies
  • Well-developed interpersonal, verbal and written communication skills
  • Proficient in application of Microsoft Outlook and Excel
  • Able to deal with pressure in a dynamic and busy work environment
