Team Assistant

In this role you will be the go to for the Business Services team. Our client is looking for someone who is the go to and the glue for their team in the CBD office. Ideally you will have some PA experience, particulalry with dairy management and have previous Government experience meaning that you are well versed in TRIM. Although this is an initial 6 month contract it will be extended.

Responsibilities:

  • Provide meeting support including preparation of agendas, organising venues and writing and distribution of minutes to contribute to the smooth running of meetings
  • Undertake SAP related tasks including limited data entry, raising and receipting of purchase orders and assisting with making payments
  • Manage, monitor, maintain and determine appropriate action for correspondence and documents received and produced by the team, using TRIM/HPCM to ensure the information is stored and recorded in line with the NSW State Records Act, and that responses are provided in the time frame required.
  • Liaise with senior officers and professional staff across the division to ensure timelines are met, and assist in the resolution of inquiries, complaints and issues for internal and external stakeholders in relation to the operations of the division
  • Prepare a range of documents, briefings and reports using Microsoft products and other software packages to meet internal and external requirements
  • Assist with the recruitment process using departmental systems, including arranging recruitment panels and organising interviews

 
Key Challenges:

  • Communicating effectively and professionally with internal and external clients and staff at all organisation levels and working cooperatively as a team member
  • Exercising sound judgement in organising own work to meet deadlines when working under considerable pressure with large or variable volumes of work
  • Being flexible and responsive to the identified priorities of the division and willing to embrace new technologies to improve business processes and maintain a culture of continuous improvement

 
Required Experience:

  • Demonstrated high level customer service skills
  • Effective interpersonal and communication skills, both verbal and written
  • Excellent time management and organisation skills with attention to detail in a busy and demanding environment
  • An ability to work as an effective and efficient team member demonstrating initiative, judgement and contributing positively to team operations
  • Ability to work autonomously and actively participate within a multidisciplinary team
  • Demonstrated computer literacy, data entry skills with the knowledge of Microsoft Office
