Receptionist | SEAFORTH

The Client

  • Extremely Well Known, Respected Agency
  • Positioned in the North Shore/Northern Beaches
  • Multiple Offices with Brand Recognition

Reception administration:

  • Open and close the office, ensure reception is tidy
  • Greet walk in customers, offer water tea, coffee if applicable
  • Answering telephone: directing calls, taking messages, providing procedure information.
  • Forward emails to appropriate staff member. File emails into subfolders
  • Logging out/in keys
  • Collecting mail from post office box: open, date stamp, scan, distribute, forward, update
  • address information. Logging outgoing mail and dropping to post box
  • Booking express post and couriers
  • Banking (across the street) if any
  • Stationery and supplies: Fortnightly check levels and order


Maintain:

  • Certificate/license folder/auction register/complaints register
  • Sales Administration
  • Respond to email sales enquiries with pre-made email response.
  • Email contract requests.
  • Email database open house and auction notices
  • New listing/exchange/settlement letters to vendor/buyer/solicitor.
  • Booking photos, copy, floor plan.
  • Using Campaigntrack create signboards and brochures
  • Upload properties to the internet
  • Preparing open house bags (for Thursday and Saturday)
  • Preparing auction bag
  • Maintaining the database with contacts and properties
  • Maintaining sales files hardcopy and cloud.
  • Vendor reports
  • Ad hoc letters
  • Prelist folder/webbook / CMA

  • Facebook
  • Instagram
  • Letterbox (just listed, just sold, market review)
  • Database
  • Front window TV screens
  • Website
