Technical Project Administrator

An exciting opportunity exists for a Full-Time Technical Project Administrator to join a fast-growing national organisation and be involved in one of its major Projects with a large Australian Oil & Gas Client.

We are searching for an experienced, detail focused, and proactive Technical Project Administrator to work within our Client’s technical team to improve efficiency. This opportunity offers lots of variety. Whilst administration focused, it requires a strong technical understanding, competence and confidence.

This role has been identified as critical to driving our Client’s commitment to improved efficiency. To succeed in this pivotal role you must be pro-active, process and business improvement focused, and able to prioritise and manage multiple requests concurrently.

Duties Involved

  • Review and update Maintenance Strategies and Work Instructions for a variety of safety systems.
  • Compile financial comparisons for different maintenance strategies.
  • Review Systems Drawings and documents received and liaise with OEMs to catalogue parts and spares on various systems and equipment.
  • Review Service Reports and recommended actions contained therein to raise corrective actions on ERP system.
  • Review drawings of facility against locations listed in ERP system and mark up differences.
  • Liaise regularly with the Data Management and cataloguing team.
  • Assist in the preparation of technical and progress review presentations, technical documents, and technical reports.
  • Obtain and work with existing data to create a Bill of Materials for systems and equipment where not currently available
  • Assist in maintaining and updating equipment inspection registers.
  • Quote any related urgent items that require a fast turnaround.
  • Work closely with responsible Engineer and Work Preparation Team by assisting them with any queries.
  • Assist with creating Management of Change documents based on outcome of reviews.
  • Maintain and update electronic information systems to reflect the status of controlled documents.
  • Assist in the review and development/improvement of working procedures and processes, in particular in relation to improvements in document control.
  • Coordinate and manage small projects and activities allocated by the Service Delivery Manager.

Candidate Requirements:      

  • Minimum of 4 -5 years’ experience in a similar role with relevant industry experience in Marine or Oil and Gas.
  • Previous Project Administration experience and Document control experience.
  • Pro-active, process and business improvement focused.
  • A "hands-on - can do" attitude and strong attention to detail are essential.
  • Previous experience in dealing with local and international suppliers and manufacturers.
  • Flexibility to work between locations (Primarily Perth CBD and Henderson).
  • A high standard of personal presentation along with excellent verbal and written communication skills.
  • Excellent time management skills and ability to prioritize.
  • Strong work ethic, enthusiastic and conscientious with a flexible approach.
  • solid knowledge of ERP Systems.
  • Sound computer skills in Microsoft Office.

Desirable Criteria:

  • Qualification in Business Administration or Document Control.
