Accounts Coordinator (Payroll)

Welcome to HOTA, Home of the Arts. We loved being The Arts Centre, but we've become something more. 

This year work will begin on construction of the purpose-build $60.5 million HOTA Gallery. When completed in early 2021, it will be the largest public Gallery outside a capital city in Australia. We will have the ability and ambition to present exhibitions and projects of national and international scale that focus on art and design; and extend our footprint beyond the walls of the gallery. When the current Gallery closes its doors in July 2019, the outdoors will become the focus for the visual arts presence at HOTA. We will introduce audiences to the Artscape; a curated, artistic and botanical landscape that brings art into the great outdoors. Set around our lake, state of the art Outdoor Stage and surrounding parklands; the Artscape will be activated by artistic programming, installations, and sculptures both temporary and permanent bringing HOTA alive with art.

POSITION OVERVIEW

This position is an integral component of the Corporate Services Department, ensuring all payroll functions are processed accordingly and are compliant within weekly and monthly timeframes and statutory and legislative requirements. This position also requires a significant amount of Accounts Payable and Accounts Receivable duties.

KEY RESPONSIBILITIES

  • Input and process of weekly pays for both permanent and casual employees both accurately and within scheduled deadlines, in accordance with HOTA Single Enterprise Agreement.
  • Issue and distribution of weekly pay slips
  • Maintain accurate employees pay records and personnel files.
  • Complete and submit all Tax File Declarations and Superannuation documentation.
  • Monthly preparation of Superannuation and submission to the Super Clearing house.
  • Administration of the integration of the rostering and payroll systems.
  • Input and process Accounts Payable and Receivable both efficiently and in cost effective manner as required.
  • Reconcile monthly accounts and adjust as required with particular emphasis on payroll transactions.
  • Assist with the reconciliation of monthly accounts and adjust as required with particular emphasis on ticketing and venue transactions.
  • Assist with the reconciliation and processing of monthly internal accounts.
  • Assist with the reconciliation and processing of monthly internal staff accounts.
  • Provision of daily and weekly reports.
  • Participate in meetings to provide updated feedback, present recommendations, and relay identification of areas requiring improvement.
  • Adopt a team approach to functions within the Finance Department.

 

Note: An employee may be directed to carry out such duties as are within the limits of the employee’s skill, competence and training.

SELECTION CRITERIA

The position requires the incumbent to perform a diverse range of financial duties and reporting functions. The incumbent will be able to demonstrate experience in:

  • Previous experience in processing all payroll functions.
  • Previous experience in Accounts Payable, Accounts Receivable and Cash Handling.
  • Ability to communicate in a tactful and confidential manner with clients and staff of all levels.
  • Knowledge of relevant payroll and superannuation statutory requirements and legislation.
  • Proven ability to meet tight deadlines and good time management skills, whilst maintaining a high attention to detail.
  • Proven experience using Reckon Accounting, Time Target software and Microsoft excel preferred.

The selection panel will shortlist applicants for interview by assessing your resume and your response to the selection criteria questions.
 

QUALIFICATIONS

  • While there are no mandatory qualifications, a relevant Finance qualification would be well regarded.
  • Minimum of 3 years' experience in payroll processing, bookkeeping, accounts payable/receivable, finance or related field.
  • Intermediate skills using Reckon Accounting Software and Time Target Software
  • Intermediate MS Office skills
  • Police Check prior to commencement
