Administration Officer

IMPACT Community Services Inc (IMPACT) is a high-profile community-owned charitable organisation supporting the most vulnerable, disadvantaged and marginalised members of the community.  Since 1978 we have supported people experiencing disadvantage, poverty, exclusion from social and employment networks and helped families and individuals build resilience and reconnect with the community in a positive way to live a better life.

IMPACT Community Health Service is looking to employ an experienced, professional Administration Officer to undertake reception duties and higher-level administration duties to support the day to day operations of the business. 

This is a full time fixed term contract until 30 June 2020 (due to current funding approvals).

This experienced professional will embrace a high-quality customer service mantra, collaborating with a diverse range of people across the organisation and externally in a Not-for-Profit arena.

You will do this by:

Administration Officer Duties:

  • Function autonomously with a high level of responsibility, and prioritise their work and the work of others within established policies, guidelines and procedures;
  • Undertake general reception duties (described below) along with higher level administration duties that support the operations of the business and the Practice Manager, including:
    • Building and Grounds management;
    • Mandatory training scheduling;
    • Sourcing of quotations;
    • Stores and Stock ordering;
    • Development of Audit Tools;
    • Clinic scheduling (Visiting Clinicians and outreach);
    • Events management;
    • Statistical data gathering, compilation, checking, reporting and analysis;
    • IT data storage management and monitoring;
    • Administrator in Mediclinic Database;
    • Administer marketing through social media and other media channels;

 

Receptionist Duties:

  • First point of contact for members of the public for IMPACT Community Health Services ensuring professional, positive and courteous communications.
  • Provide administration support:
    • Responding to general enquires at front desk and by phone;
    • Distributes mail including IMPACT Community Health Service email;
    • Organising meetings, appointments, staff calendars, room and car bookings;
    • Collection of statistics and preparation of statistical data;
    • Preparation of correspondence, presentations and reports;
    • Undertake routine scheduled audits;
    • Administer Petty Cash and other cash handling;
    • Cost Code invoices for approval;
    • Maintain Client Records;
    • Undertakes visitor and client inductions;
  • Contribute to the development and implementation of improved administration processes, procedures and practices.
  • Establish and maintain professional relationships with internal and external customers, providing accurate and, timely advice in a courteous manner.
  • Support Clinical Functions:
    • Telehealth;
    • Appointment scheduling;
    • Patient Travel Subsidy Scheme; and
    • Needle Exchange Program.

General Requirements:

  • Compliance with confidentiality and the Privacy Act with specific reference to Health Information.
  • Compliance with principles of Infection Control.
  • Participate in the continuous improvement of the Quality Management System.
  • Compliance with IMPACT Community Services Safety Management System.
  • Apply culturally inclusive practices in all aspects of work.
  • Lead by example with a high level of professional interpersonal skills:
    • Customer service.
    • Communication skills.
    • Conflict Resolution.
    • Organisational and Time Management Skills.
    • Ability to work autonomously in a multidisciplinary team environment.

What you need to be successful in this role:

Essential -

  • Certificate III in Business Administration and/or demonstrated experience in administration and customer service ideally in a human and social services environment.
  • Current Queensland Driver’s Licence.
  • Compliance with IMPACT Community Services Code of Conduct, Mission and Values.
  • Mandatory Annual Competencies:
    • First Aid and CPR.
    • Handwashing.
    • Manual handling.
  • Comprehensive Administration Skills:
    • Keyboard and typing skills.
    • Computer operations of the Microsoft Office Suite (in particular Word, Excel, Access and Outlook).
    • Ability to acquire skills in corporate computer applications.
  • Queensland Driver’s Licence / C Class 
  • Possession of, or willingness to obtain, Prescribed Notice (Yellow Card), Working with Children (Blue Card), National Police Check (AFP)

Desirable -

  • Clear understanding of and alignment to the funding body service agreement:
    • The role’s service outputs.
    • Reporting and recording requirements.
    • Intake and referral processes.
    • Working in a contractually compliant environment.
