Administration Officer

Part-time, Fixed Term - 12 month contract

ABOUT NQBP

NQBP is one of Australia's largest port authorities by tonnage throughput. More than half of Queensland's trade, by tonnage, passes through our ports at Weipa, Abbot Point, Mackay and Hay Point.

THE ROLE

Reporting to the Executive Officer, this role will see you providing a broad range of administrative support to the Brisbane Corporate office.

Other responsibilities are:

  • Organising, booking and communicating all aspects of travel arrangements for NQBP;
  • Undertake general office support activities including mail/fax receipt - sorting and distribution, booking training, inventory and ordering of stationery and kitchen supplies, arranging couriers, logging of building maintenance issues, meeting room calendar bookings, arranging functions/catering, and maintenance of utility and kitchen areas;
  • Maintaining Brisbane office reception and meeting rooms, including assisting with the setting up of video conference / teleconference facilities; ordering catering for meetings and the set up / clear away of meeting rooms;
  • Undertake daily filing and maintain HPE RM8/Trim computerised records management system including the creation, storing and retrieval of files whilst adhering to relevant legislative requirements; and
  • Formatting and production of documents, maintenance of databases and spreadsheets, photocopying, and compilation of reports/papers to support the business.

SKILLS AND EXPERIENCE

To be considered for this opportunity you should have experience working in an Administrative role. You will also need:

  • Demonstrated ability to provide a high level of administration support services in a diverse organisation experiencing rapid change.
  • Demonstrated knowledge, experience and understanding of effective communication.
  • Demonstrated use of innovation and analytical skills to generate viable options and develop solutions to diverse workplace issues and take responsibility for outcomes.
  • Demonstrated ability to successfully manage workload and achieve agreed outcomes, with the ability to initiate projects and opportunities that have the potential to improve the outcomes and performance of the work area.
  • Demonstrated knowledge of and experience in using Microsoft Office programs, electronic records management systems and experience with video conferencing equipment (or the ability to rapidly acquire knowledge of).

Desirable

  • Certificate IV in Business Administration
