Company Secretariat Officer

We are currently looking for a Company Secretariat Officer who will provide support to the Company Secretarial function of the business and will be reporting to the Head of Company Secretariat.

The successful candidate will:

  • Support the Head of Company Secretariat and General Counsel and Company Secretary in the efficient running of the company secretariat function, as directed;
  • Provide assistance to directors as required;
  • Board and board committee meeting support, including collation and delivery of board papers for listed Board, subsidiary Boards and Committees;
  • Drafting board papers and circular resolutions;
  • Manage Boards and Board Committees including preparing meeting agendas, assisting with minute taking and matters arising and liaising with directors;
  • Assisting internal management committees as directed;
  • Assisting with management of the Full Year End and Half Year End Process including drafting of sections of Annual Reports and Governance disclosures, as directed;
  • Supporting with management of the Annual General Meeting and other corporate actions as directed;
  • Supporting with management of the Executive Share Plan;
  • Company registers and company records maintenance;
  • Maintenance of various governance checklists and registers
  • Other ad hoc administrative and secretarial duties as they arise.



    In order to be successful, the candidate must have:


  • Preferred tertiary qualification (degree, diploma or certificates) in administration, business studies or legal;
  • Demonstrated senior administration experience;
  • Knowledge of company regulatory and reporting requirements;
  • Experience in a legal, company secretariat or accounting environment, preferably within financial services.
  • An interest in and willingness to learn about governance and company secretariat;
  • Strong attention to detail
  • Focus and ability to achieve completion of tasks in highly demanding environment
  • Confidence in dealing with people at all levels
  • Manage competing priorities and deadlines
  • Excellent communication skills - both verbal and written
  • Enthusiasm and passion
