Workshop Administration Officer

This is a fantastic opportunity within our Maintenance division you will use our comprehensive Fleet System to ensure the entire life cycle of work orders are managed from placing job orders, invoicing and to final goods receipt.  This position will suit someone who has excellent computer skills and has worked with programs/systems before to hit the ground running.

 

Position duties include the following:

 

  • Completing all data entry requirements on a daily basis
  • Data entry of job orders and placing into MEX system / spreadsheets
  • Date entry of payroll timesheets
  • Ensure customer charges are correct and invoiced promptly to meet set deadlines
  • Checking supplier invoices and keying into internal systems for payment
  • Reconciliation of databases to ensure data accuracy and integrity
  • Manage and resolve internal and external account enquiries within required timeframes
  • Use in house systems to complete reporting and data entry functions
  • Maintain filing and archiving when required
  • Various other administrative duties may be assigned such as, stationery and uniform ordering when required by the business

 

Position Requirements:

 

  • Experience within the transport/workshop environment is preferred however not essential
  • Must have Intermediate to Advanced systems experience
  • High level of computer literacy including sound knowledge of MS Suite
  • Fast and accurate data entry skills as this is a significant part of the workload
  • Great customer relations skills, a pleasant and friendly telephone manner
  • Ability to prioritize workloads to meet deadlines
  • Great time management and organizational skills
  • Effective verbal and written communication skills
  • Problem solving skills and a high level of initiative
  • Ability to work as part of a team and autonomously
  • Strong attention to detail and must be a quick learner
