Accounts and Office Administrator

We have an exciting opportunity for an Accounts and Administration professional to join our team based in Brisbane.  As well as having solid accounts payable/receivable skills, we are looking for candidates who are capable in the delivery of quality general office administration support, working alongside our team of environmental consultants.

About the role

Office Administration

  • Project support formatting reports and providing budgetary assistance
  • Organising equipment for fieldwork and OH&S requirements
  • Managing office and employee expenses for system input
  • Administration of recruitment, induction and OH&S processes
  • Maintaining office supplies, booking travel and training courses and trouble-shooting IT issues
  • Reception duties within a small office environment

Accounts Payable/Receivable

  • Sending project invoices to Project Managers for approval and liaising with suppliers
  • Updating accounts payable spreadsheet when invoices arrive and when approved
  • Following-up Project Managers for unapproved invoices
  • Downloading and encrypting prepared invoices
  • Cross checking spreadsheet with Invoice Register to ensure invoices have been sent
  • Updating National Debtors spreadsheet
  • Client liaison to follow-up on payments due following internal process
  • Liaising with Project Managers to resolve payment issues
  • Updating invoice details on invoices and entering into internal project management system

About you

To be considered for the position, you will have:

  • Some previous experience in office administration and accounts payable/receivable
  • Preferably a qualification in business administration or accounting
  • Excellent communication skills
  • Strong and confident client relationship skills
  • Ability to quickly comprehend complex problems and prioritise work
  • Data management and excel skills with knowledge of internal financial management systems
