Executive Assistant / Administration Manager

WHO WOULD YOU BE WORKING WITH?

For 12 years cesar has delivered environmental services in the areas of agricultural pest control and wildlife conservation. In recent years, our sister organisation EnviroDNA has been established to offer innovative wildlife detection technology. Across both groups, we are a small but dynamic and passionate team of ~25 staff providing scientific services to government, academia and private organisations. We love applying science and spend our time doing science stuff. While this is the case, we admittedly need to have more 'people persons' around the place!

ROLE MISSION:

A star administrator who keeps all ducks in a row across executive assistance, project administration, supporting Human Resources and the general operations of the business/office so the scientists can focus on their research. 

This role is focused on managing business operation roles at cesar, and on occasion assisting with EnviroDNA. We are looking for someone who can fill this role in our Melbourne based office and grow with us in the years to come.

ROLE OUTCOMES

  • Leadership team (x5) supported thanks to timely and attentive EA and special project support.
  • Wider team is supported thanks to successful project administration, HR & recruitment, OH&S, financial assistance and other office/lab admin processes.
  • Office is kept ship shape, functional and comfortable.
  • Successful relocation of office and laboratory in 2020 thanks to balancing environmental, team and organisational needs.

Additional role outcomes for the right candidate:

  • Ensuring the business leads by example in environmental impact management.
  • Helping to drive a healthy and happy team culture.

IMPORTANT COMPETENCIES - IS THIS YOU?

  1. Incredible organiser who doesn’t miss a beat – you have excellent work management systems to keep up with a dynamic list of admin requirements. e.g. tracking client projects, organising annual insurances, updating OH&S documents, coordinating team events, supporting with recruitment activities, maintaining office records and supplies, proof reading client contracts or scientific reports, assisting with financial operations and more. You not only effectively juggle tasks while maintaining attention to detail but you enjoy doing this!
  2. Runs with things independently and efficiently - you can demonstrate that you are proactive and efficient in getting things done and do so without close management. Even when things aren’t straight forward you get busy learning what needs to happen, seek assistance and input when necessary but aren’t reliant on direction every step of the way. 
  3. Fast learner – you can hit the ground running and keep up to speed with a small yet multifaceted science-based business. Building at least a basic understanding of the science we do and the ways we do business will be essential. 
  4. Confident communicator & excellent interpersonal skills – you have a proven skillset to confidently liaise with a range of staff, suppliers and customers, readily chase things up to ensure things get done, or speak up if there are opportunities to do things better. You also enjoy and have the interpersonal skills to build positive working relationships with those around you. 
  5. Thrives on helping others - this is a key support role for leaders and others across the business. You have experience and are driven by being a “go to” person and will go the extra mile to help people with big and small tasks.
  6. Savvy on computers e.g. quick typist, can use Mac (or pick up quickly), Microsoft office suite (particularly excel), calendar management etc.

It would be ideal, but not the most important consideration, if our new star administrator:

  • has experience in an EA/Admin Manager type role, or at the very least can strongly demonstrate transferable skills and motivation for such a role for the long term.
  • a desire to have a positive impact in the world, and highly motivated to apply your skills to a business that is helping to ensure a sustainable future for generations to come.
  • had some bonus technical skills (not essential) that could help add an edge as you grow with the business e.g. accounting system data entry or aspects of finance, website updates and experience and interest with marketing support, lab management, databases, workplace sustainability management – as just some ideas.

You will be an Australian Citizen, Australian permanent resident, or NZ Citizen.
