Defence Operations Coordinator

An exciting opportunity has arisen for an Operations Coordinator within our Defence Team to join us on a Full Time, permanent basis. We are seeking a candidate who will represent Wiltrading STACE in the best possible manner and accomplish the tasks allocated with thoroughness and accuracy.

Based in the Sydney facility and reporting to the Defence Manager, your role will consist of the following key responsibilities however not limited to:

  • Direct and coordinate technician team schedules to deliver first class professional services to clients
  • Take direction from the Defence Manager and coordinate / control production requirements and budgets.
  • Liaise with clients, suppliers and managers in an efficient and timely manner.
  • Monitor movements of materials and equipment to ensure their safe delivery to site in an adequately identifiable, safely handled.
  • Conduct repairs and maintenance on board various vessels and equipment as required.
  • Report on critical information regarding service and repairs in the workshop.
  • Ensure sufficient capacity to respond to emergency conditions professionally and effectively.
  • Ensure works carried out is in accordance with company HSEQ requirements and national legislation.
  • Ensure and report the environmental management system conforms to the requirement of the standard.
  • Ensure goods and services are produced efficiently and to a high standard without compromise to others health, safety or the environment.
  • Assist with customer queries and resolve them in a timely manner.
  • Produce accurate reporting for clients on and off site including: progress updates, completed projects, and associated relevant documentation.
  • Track Job progress and produce regular accurate reports to the direct line manager and upper management.
  • Identify and coordinate employee-training needs.
  • Fulfil administrative duties including:
  • Managing stock in and out of the workshop, liaising with various departments.
  • Maintain up to date information in the company’s system.
  • Coordinate travel and accommodation for employees when travelling to various sites.
  • Check and update the company’s records to ensure timely and accurate data inputs.
  • Coordinate with all operational suppliers to assist with a timely turnaround of units.
  • Checking suppliers’ invoices in accordance with the company’s procedures and policies.

 

Essential Skills and Experience Criteria

This role is essential to our business and as such, we are looking for a candidate who meets the criteria listed below:

  • Trade Qualified in Mechanical Engineering and a minimum of three years industry experience.
  • Ability to coordinate work and communicate effectively with others.
  • Developed supervisory and communication skills.
  • Advanced organisation and time management skills.
  • Strong communication skills, both written and oral, and the confidence to manage correspondence to a diverse range of stakeholders.
  • Excellent attention to detail.
  • Ability to build positive internal and external relationships.
  • Ability to maintain confidentiality and adhere to the highest ethical standards.
  • Ability to organise events within a set budget and coordinate their implementation.
  • Intermediate skills in MS Office applications i.e. Word, Excel, PowerPoint.
  • Able to work additional hours as required.
  • Defence Maritime experience is desirable.
