About the Role


This is an exciting opportunity to join Australia’s biggest supply chain network and work on a significant transformation project. Reporting into the  Head of Transformation Program Delivery, you will support the Program Manager and wider Program Delivery team in organising, coordinating and controlling project related activities. The role involves administration of data flow into Project Management tools like SAP and Sentient.

 

Key responsibilities:

 

  • Support the Program / Project Manager with governance deliverables and project related administrative tasks
  • Prepare for workshops, forums and meetings: 
    • Secure facilities, build agendas and presentations, coordinate inputs, procurement of materials and catering
    • Drive and facilitate sessions when required
    • Capture and distribute minutes, follow up outcomes
  • Coordinate inputs to and maintenance of core project toolsets (Sentient, Schedule, Risk register) 
    • Updating milestones 
    • Meetings / minutes / risks and issues 
    • Create and maintain status reports 
    • Governance checklists
    • Gather documentation required to support phase gate approvals
  • Financial management
    • Month-end reporting
    • Assist Project Managers with monthly forecast preparation, EA approvals, purchase order management, invoice processing, reconciliations
    • Assist with gathering data and conducting analysis for preparation of business cases
    • Assist with defining resource estimations and monitoring monthly spend
  • Administration support 
    • Prepare communications
    • Assist with gathering inputs for and updating project schedules 
    • Maintain the program roadmap, follow up stakeholders and project team members on outstanding actions, risk and issue updates 
    • Assist Project Manager with project document management 

 

About You

 

 

  • Qualifications: Bachelor in  Business Management / Commerce / Engineering (preferred) or equivalent qualification.
  • Minimum 1 years of relevant work experience
  • Demonstrable experience in high paced environment
  • Excellent analytical and critical thinking skills
