Personal Assistant and Administration Manager

Our business is capturing beautiful family memories and helping parents document their family story. Our photography studios are in most major shopping centres throughout Australia and over the past 15 years we have serviced hundreds of thousands of Australian families.

Working in our Head Office in Molendinar, we are looking for an accomplished Administrator who can assist us with a wide range of Administration and PA tasks.

As the Administration Manager and PA to the Managing Director you will have a wide range of administrative tasks to complete in a fast-paced and continuously changing environment.

You will be responsible for making all of the companies’ bookings within shopping centres, organising regular travel needs for Employees throughout the company and conducting a vast range of Administration and Personal Assistant tasks. 

To be successful in this role you must be extremely organised, diligent, reliable and able to multitask a large number of tasks simultaneously.

You will be an excellent communicator, have a high level of emotional intelligence, be resilient and not easily give up. You will take responsibility for your tasks and ensure you do whatever needs to be done to achieve your goals. You will be highly motivated and be able to act with minimal direction, and use your skills and intellect to make sound decisions. Above all you will have a great “can-do” attitude and assist your coworkers at every opportunity.

The responsibilities of this role are broadly defined as;

Casual Mall Leasing (Shopping Centre Bookings):

  • In conjunction with the Managing Director and National Studio Manager, prepare and place shopping centre site bookings on behalf of the company
  • Confirm shopping centre locations and bookings prior to arrival
  • Deal with enquiries or complaints from centres in a timely and professional manner
  • Develop strong relationships with Casual Mall Leasing Managers
  • Maintain excellent records

Travel

  • Book flights as required
  • Book accommodation as required
  • Organise car hire as required
  • Liaise with Airport parking providers and make bookings accordingly
  • Create and communicate travel itineraries to staff
  • Respond to all travel related enquiries
  • Maintain compliance to the company travel policy
  • Provide information to Payroll as required
  • Maintain excellent records

Admin/PA

  • Act as a Personal Assistant to the Managing Director
  • Prepare reports as requested
  • Attend meetings with Senior Management as and when required 
  • Take meeting notes and minutes
  • Fielding of in-bound telephone calls
  • Making outbound calls as requested
  • Receiving and directing visitors
  • Work processing, scanning and printing
  • Creating spreadsheets or presentations
  • Filing
  • Data entry
  • Inventory management and ordering
  • Organising company records
  • Running errands as required
  • Arranging meetings and appointments
  • Coordinate repairs and maintenance as required
  • Organising sales stock requests
  • Mange vehicle registrations, services and repairs
  • Other tasks as directed by Management
