Team Administrator

This role is responsible for carrying out a range of administrative tasks, from preparing documents, ordering office stationery, collection and postage of mail, booking of meeting rooms and general office housekeeping and other general office tasks.

Provide support to the Administration Manager and the wider team in the Henderson office.

 

What you'll be doing:

  • Perform general administrative duties/tasks for and on behalf of the Administration Manager.
  • Support the Henderson project team, which may also at times include other teams based interstate or internationally.
  • Answer team enquiries ad assist with ad-hoc requests from the staff on the floor.
  • Assist HR with the on-boarding of new employees: ordering mobile phones and SIM cards.
  • Manage stock levels of IT equipment – laptops, keyboards, mice, headsets, docking stations etc.
  • Setting up desks with IT equipment for new starters.
  • Contact person for IT-Germany.
  • Managing and administering an IT asset register overview (Henderson).
  • Arranging meeting rooms, appointments and meetings for the project team, as well catering for meetings.
  • Answer and manage incoming calls.
  • Resolve tasks and enquiries through e-mails and phone calls and prioritise tasks to ensure customer service standards are met.
  • Assist with any ad-hoc tasks from the Administration Manager, CFO and the project team.
  • Arrange domestic travel for the Perth-based team.
  • Liaise with WAPOL and SAPOL to arrange G2G passes for staff travelling from interstate into WA.
  • Assist HR with staff relocations.
  • Order office supplies – stationery, kitchen supplies etc.
  • Ensure both kitchens are well stocked with supplies and coffee machines maintained.
  • Advanced word processing including, correspondence, reports and other documents when necessary using appropriate templates and formatting.
  • Manage expense claims as and when required.

 

Requirements to Perform the Role

  • Minimum of the 5 years’ experience in office admin/support roles
  • Intermediate to advanced skills in the Microsoft Office suite of products
  • Highly developed organisational skills
  • High level of attention to detail
  • Demonstrated problem solving skills
  • Proven ability to work under pressure with competing priorities
  • Excellent communication and interpersonal skills
  • Positive, proactive attitude to your work
  • Proven ability to maintain confidentiality

 

The successful applicant will be required to complete an Australian Defence Force Security Clearance process, of which a minimum requirement is Australian citizenship.
