The role

We are hiring a Project Coordinator to join our Operations team reporting directly into the Director, Operations. Your main tasks will include supporting the creation of detailed requirements, managing small projects, documenting processes, and coordinating user acceptance testing. To succeed in this role you should have an analytical, yet solutions-orientated way of thinking, be a good listener and be able to explain difficult concepts to non-technical users.

What you would do:

Project management & analysis

  • Supporting management of projects, developing project plans, and monitoring performance.

  • Supporting evaluations of business processes, anticipating requirements, uncovering areas for improvement, and developing and implementing solutions.

  • Supporting efforts to conduct ongoing reviews of business processes and developing optimisation strategies.

  • Staying up-to-date on the latest process and IT advancements to automate and modernise systems.

 

Project coordination and communication

  • Conducting meetings and presentations to share ideas and findings.

  • Documenting and communicating the results of your efforts.

  • Effectively communicating your insights and plans to cross-functional team members and management.

  • Gathering critical information from meetings with various stakeholders and producing useful reports.

  • Serving as a liaison between stakeholders and users.

  • Helping others understand the rationale behind business processes and decisions.

 

Business process and administration

  • Updating, implementing and maintaining procedures.

  • Prioritising initiatives based on business needs and requirements of the overall business.

  • Ability to multi-task and work with others to help them achieve outcomes despite competing priorities.

  • Monitoring deliverables and ensuring timely completion of projects.

 

How can I tell if this is for me?

We are looking for:

  • A bachelor’s degree in business, communication, technology or a related field.

  • A minimum of 3 years experience in project coordinating or a related field.

  • Business and technical aptitude.

  • Excellent analytical and conceptual thinking skills.

  • The ability to influence stakeholders and work closely with them to determine acceptable solutions that are efficient and effective.

  • Excellent documentation skills and attention to detail.

  • Experience visualising data, creating detailed reports and sharing findings in presentations.

  • Competency in applications including Word, Excel, PowerPoint and Outlook.

  • A track record of following through on commitments.

  • Excellent planning, organisational, and time management skills.

 

There is no requirement to be Project Management certified. E.g. PRINCE, PMBOK (however, familiarity with working in an AGILE environment is a bonus).
