Preamble   
The Administration Assistant is expected to support the College community (CEO/Executive Principal, Principal, staff, students and parents) in the continued promotion of the philosophy of the College which is founded on the Mission Statement.  All employees are expected to respect the confidentiality of the individual, and to treat all members of the College community with courtesy.

Appointment   
  • 1 The Administration Assistant is appointed by the CEO/Executive Principal.
  • 2 The position will attract a salary as determined through discussion on appointment and will be reviewed by the Principal.
  • 3 This position is responsible for the provision of administrative support to the staff in key areas as outlined below. This position requires personal and professional discretion, a sense of utmost confidentiality, loyalty and tact. 
  • 4 This position reports directly to the PA to the Principal/Office Manager. 
  1. Key Duties
  • 1 Perform the duties of College Receptionist, including taking messages, transferring calls
  • 2 Be the first face of the College. Greet visitors, handle inquiries. Ensure the College reception is a warm, welcoming place.
  • 3 Maintain the presentation standard of the College reception area.
  • 4 Be responsible for the admin email inbox of the College. Co-ordinate the flow of information both internally and with other organisations.
  • 5 Distribute incoming mail and other material.
  • 6 Organise outgoing mail and couriers.
  • 7 Manage the MBBC bus bookings and coordinate drivers.
  • 8 Assist Administration Assistant, Student Reception with maintaining current student records, specifically change of address details and medical information.
  • 9 Provide cover and backup to the Administration Assistant – Student Reception with the administration of first aid to students where necessary. Keep all necessary records.
  • 10 Be responsible for overall maintenance of office equipment ie photocopier.
  • 11 Be responsible for office stationery items including printed stationery, as well as catering products. Source suppliers and prepare orders as required.
  • 12 Ensure stationery supply cupboard is kept tidy.
  • 13 Maintain the production room ensuring it is kept tidy.
  • 14 Maintain and update Fire and Lockdown Procedures in conjunction with the Risk and Compliance Officer.
  • 15 Maintain and update telephone Directory, Visitor’s Register and COVID Tracing Register.
  • 16 Ensure Meeting Room is clean and sanitised.
  • 17 Assist with room bookings when required.
  • 18 Liaise with the Facilities Hire Manager to ensure external hires are input onto the calendar.
  • 19 Process EFT payments for parents.
  • 20 Prepare Tuckshop volunteer roster and coordinate.
  • 21 Assistance with the Celebration of Excellence event.
  • 22 Kitchen housekeeping, each afternoon load the dishwasher and wipe down the kitchen.
  • 23 Provide assistance/support as required/directed by the College Leadership Team.

Note that staff are required to familiarise themselves with the College Child Protection Policy.
  
With regard to student behaviour, a non-teaching staff role is not to actively discipline a student but rather one of observance and reporting (to the Heads of Sub-Schools) of any misdemeanour so that sanctions may be invoked where required.  However, within the staff’s Duty of Care it may be necessary to step in when a situation is unsafe or a student is at risk.
